A lighting upgrade is not a box of new lamps. Fixtures, sensors, emergency lighting, and the way a crew actually reaches the ceiling all belong in the same plan. Skip that and you get bright rooms that cannot dim for a late shift, or fixtures nobody can service without blocking a sales floor.

Map zones before anyone orders lamps
Walk the building the way staff actually use it. Sales floor, offices, stock, restrooms, exits, parking, and signage do different jobs. Hours differ. Occupancy differs. A warehouse that runs overnight does not need the same control as a front office that empties at five.
Write the zone list with ceiling height, fixture type, how you reach it today, and who complains about glare or dark corners. That list is more useful than a purchase order that says “replace all 2x4s.” Our post on planning an upgrade by zone covers that split in more detail. This one is about what happens after the zone list exists: controls, access, and how the crew works around an open business.
Businesses in Marietta and Woodstock often share one building with a tenant below or a landlord above. Note who owns the lighting and who pays the power bill before you assume every fixture is yours to change.
Controls are part of the install, not a later app
Occupancy sensors, daylight sensors, time clocks, and dimming all change wiring, box locations, and how a space feels after hours. A fixture swap that leaves the old wall switch as the only control usually wastes the efficiency you paid for. A sensor package that nobody can override during inventory night creates a different complaint.
Ask who will change the schedule after the electrician leaves. If the answer is “whoever has the ladder,” put a local override in the scope. If the answer is a facilities person who already runs HVAC hours, match that calendar instead of inventing a second one.
Emergency lighting and exit signs sit in their own category. They have testing and placement rules that do not follow a decorative LED swap. Keep them on a separate line in the proposal so a pretty sales-floor upgrade does not silently absorb code work. Browse code compliance and inspections when that layer is already on a punch list from the fire marshal or a landlord walk.
Lift access and shutdown windows decide labor
Twenty-foot warehouse aisles and a drywall office ceiling are not the same job, even if both use LED. Note lift rental, pallet racking that has to move, and hours when the floor cannot be blocked. A Saturday shutdown in a restaurant kitchen is a different crew plan than a Tuesday night in an empty warehouse.
Photograph the ceiling grid, any existing sensors, and the panel that feeds lighting. Note which rooms must stay open during work. If commercial troubleshooting already found hot ballasts, flickering rows, or a breaker that trips when a section turns on, put those notes in the same packet. Those findings change sequence.
Do not recreate a flicker or a hot fixture for a video. Describe time of day, which row, and what else was running. Unsafe conditions stay off until we isolate them.
Maintenance after the crew leaves
A fixture that looks clean on day one still needs a path for lamp or driver service later. Decorative cans over a permanently staged display, or high-bay lights over racking with no lift aisle, become a service problem the first time a driver fails.
Ask for a one-page map: which panel, which circuits, which sensors, and how to reach the high fixtures. Update the panel directory when circuits change. That labeling is part of the job, not a favor. The next night-shift manager should not guess which breaker kills the stockroom.
If residential lighting work is happening at a mixed-use property or a home office in the same ownership group, keep those scopes separate. House circuits and commercial hours do not share a shutdown plan.
What the written scope should separate
A useful proposal names fixture types by zone, control devices, emergency and exit work, lift or scaffolding needs, after-hours labor, and testing. Optional decorative changes and future sign circuits stay on their own lines until you confirm them.
Energy savings talk should follow the actual fixtures and hours, not a generic percentage from a catalog. If a second condition shows up once a ceiling is open, ask for a photo and a short written change before more work is approved.

What to send before we walk the floor
Share a floor sketch with zone names, photos of typical fixtures, ceiling height if you know it, and the hours the business cannot close. Note lift restrictions, alarm sensors on lighting circuits, and any prior lighting invoices you still have.
Leave unknown wattages blank. A guessed number is worse than an empty field we will measure.
